The MYOB Business Monitor, published August 2026, found 36% of NZ SMEs are now proactively using AI, up from 32% a year earlier, with adoption climbing to 64% among businesses with 20 or more staff. That is real, current momentum. It is also, for a lot of those businesses, a layer of new technology sitting on top of the same old problem: an enquiry comes in, and whether it gets a reply depends on who happened to check their inbox that afternoon.

Lead nurturing is the unglamorous fix for that. It is not a new campaign or a bigger ad budget. It is making sure every enquiry you have already paid to generate gets tracked, followed up and kept warm until it is ready to buy, automatically, whether or not anyone remembers to do it by hand.

Every one of these was a lead you already paid for.

The lead you already paid for is the one you are most likely to lose

A Google Ads click, a form fill from an SEO page, a phone call from a referral: by the time someone enquires, you have already spent money or time getting their attention. What happens in the next few hours decides whether that spend was worth it.

The clearest evidence on this is old but has never been beaten: a study published in Harvard Business Review in March 2011, “The Short Life of Online Sales Leads” by James Oldroyd, Kristina McElheran and David Elkington, tracked 2,241 US companies handling live web enquiries. Firms that tried to contact a lead within an hour were nearly seven times more likely to qualify it than firms that waited even one hour longer, and more than sixty times more likely than firms that waited a day or more. The study is more than a decade old, and it is US data, not NZ-specific. But the mechanism it describes, that interest cools fast and a competitor is usually one search away, has not changed. If anything, a New Zealand buyer today has more tabs open and more agencies to compare than one did in 2011.

Most small businesses do not have a “process problem” they can point to. They have an inbox, a mobile number, and whoever is free. That works until the person who normally answers is on a job, in a meeting, or simply has forty other things ahead of it in their inbox. A CRM does not make your team faster at replying. It makes sure nothing waits on a person remembering to look.

Same enquiry, two outcomes. The only difference is how long it sat there.

What “lead nurturing” actually means, in plain words

Two ideas get bundled under this term, and it helps to separate them.

A CRM (customer relationship management system) is simply a shared, permanent record of every enquiry: who they are, where they came from, what was said, and what happens next. Instead of a lead living in one person’s phone or a sticky note on a desk, it lives in a system the whole business can see, that nobody can accidentally lose by leaving.

Lead nurturing is what runs on top of that record: a sequence of emails, texts or reminders that keeps a business in front of a prospect who is not ready to buy yet, without anyone having to remember to send them by hand. A quote request that goes quiet after a week gets a follow-up automatically. A spec sheet download gets a case study three days later. Nobody forgets, because nobody has to remember.

Neither of these is about replacing a conversation. They are about making sure the conversation happens at all, and happens on time.

Why the AI investment does not fix this on its own

This is where the MYOB numbers matter. New AI tools are landing on top of businesses that, per the same Business Monitor reporting, are still largely running customer follow-up out of a spreadsheet, an inbox, or someone’s memory. A chatbot that answers a website enquiry at 9pm is genuinely useful. But if the enquiry it captures then sits in an inbox until Monday, the business has bought speed at the front door and kept the same bottleneck behind it.

New tools on an old process just make the old process fail faster.

A CRM is the unglamorous foundation that makes every newer tool actually pay off. AI can write the follow-up email, qualify the enquiry, or draft the quote. None of that matters if the enquiry itself has nowhere reliable to land.

What it actually costs

Two separate things get paid for here, and mixing them up is how a business ends up with the wrong number in its head.

The software is usually the smaller cost. Most CRM platforms charge a modest per-user monthly fee, and plenty of small operators run comfortably on an entry-level plan. The software is rarely what makes or breaks the budget.

The setup and the workflow is where the real cost, and the real value, sits: mapping how your enquiries actually arrive (phone, form, Facebook, walk-in), building the follow-up sequences that suit your sales cycle, and connecting it to the tools you already run so nothing needs re-typing twice. A CRM installed and left on its default settings behaves exactly like the spreadsheet it replaced, just with a login screen in front of it.

We do not publish a flat price for this one, because the honest answer depends on how many enquiry channels you have and how complex the follow-up needs to be. What we can tell you on a call, quickly, is whether your current setup is losing you enquiries and roughly what fixing it involves.

The inbox, three days after a busy week of ads running.

How to tell whether it is working

Three numbers tell you almost everything, and none of them require a data analyst to track.

Time to first response. From the moment an enquiry lands to the moment someone (or something automated) replies. Given the HBR findings above, this is the single number most worth watching. If it is measured in days, that is the first thing to fix, before anything else on this list.

Follow-up completion rate. Of every enquiry that did not convert immediately, how many actually got a second, third and fourth touch, versus quietly going cold. A CRM makes this visible for the first time in most small businesses, because before it, nobody could see the leads that were dropped, only the ones that turned into jobs.

Lead-to-customer conversion rate, tracked by source. Once you can see every enquiry in one place, you can finally see which channel, Google Ads, referrals, your website, your Facebook page, actually turns into paying work, rather than guessing from memory.

The same enquiries. The only thing that changed is that none of them get dropped.

How BeyondClix sets this up

We build CRM and lead nurturing around how enquiries actually arrive in your business, not a generic template. That means mapping your real channels, whether that is Google Ads, SEO, referrals or your Google Business Profile, into one record, and writing the follow-up sequences that match how your sales cycle actually runs, whether that is a same-day quote or an eleven-month industrial buying decision.

You own the record. Every enquiry, contact and note is yours, kept if you ever leave.

Built around your actual sales process, not a one-size-fits-all sequence.

Connected to the channels generating the enquiries, so nothing has to be re-typed from a form into a spreadsheet by hand.

Plain-English reporting on response time, follow-up completion and where your paying customers actually come from.

If your current system for tracking leads is a spreadsheet, an inbox, or “whoever picks up the phone,” a short call is enough to tell you whether that is costing you sales, and what fixing it would actually involve.

Frequently asked questions

Do I need a CRM if my business is small?

If you get more than a handful of enquiries a month from more than one source, a CRM earns its keep. The point at which a spreadsheet stops working is usually the point at which you can no longer say, without checking, who followed up on last week’s enquiries and who did not.

What is the difference between a CRM and email marketing software?

Email marketing software sends the same message to a list. A CRM tracks each individual enquiry as its own record, with its own history and its own next step, and the nurture sequences run per contact based on where they are in the process, not as a single blast to everyone.

Will this replace my sales team?

No. It replaces the parts of follow-up that do not need a person: the reminder, the check-in email, the “did you still want that quote” nudge. The conversation that actually closes the sale still needs a human. A CRM just makes sure that person gets the chance to have it.

How long does it take to set up?

A straightforward setup, one or two enquiry channels feeding into a standard follow-up sequence, can be live within a couple of weeks. A more complex setup, multiple channels, a longer sales cycle, integration with other software, takes longer and is scoped on a call.

Does this work alongside the AI tools I already use?

Yes, and it usually makes them more useful, not less. A chatbot or AI assistant that captures an enquiry still needs somewhere reliable for that enquiry to land and be followed up. The CRM is that landing place.

What if I am already using a CRM but it is not being used properly?

This is common. Independent research firm Nucleus Research has tracked CRM return on investment for over a decade, and its most recent CRM ROI report found average returns had climbed to $8.71 for every dollar spent, up from $5.60 a few years earlier, largely down to better adoption and integration rather than better software. An underused CRM is usually a setup problem, not a software problem, and it is often faster to fix than starting over on a new platform.

{
  "@context": "https://schema.org",
  "@type": "FAQPage",
  "mainEntity": [
    {
      "@type": "Question",
      "name": "Do I need a CRM if my business is small?",
      "acceptedAnswer": { "@type": "Answer", "text": "If you get more than a handful of enquiries a month from more than one source, a CRM earns its keep.
